Why can’t you share brand assets as email attachments?
A single logo may fit in an email. A brand kit will not. It includes the source file, brand guidelines, a social cover image, and a campaign photo. Gmail does not accept attachments over 25 MB, and Outlook does not accept attachments over about 20 MB.
An incomplete kit is not useful. If you send only a PNG, the printer cannot find the source file. If you send only the guidelines, the logo is missing. Sharing a font file when its license does not allow it is another problem. You put these files in the folder. We don’t assemble the kit.
Your client and printer should receive the folder you prepared.
| Delivery method | What happens | For logos and guidelines |
|---|---|---|
| Gmail or Outlook attachment | Attachments over 20–25 MB cannot be sent | A single logo may fit, but a kit will not |
| PNG only | Viewable on screen, but no source file is included | For viewing |
| Guidelines only | Rules are included, but files are missing | Not enough |
| Shared drive | Files may remain available, but an account may be required | Use with care |
| SendGB link | Files are not converted, and folder structure is preserved | Suitable for handoff |
The example above shows a brand asset handoff: a campaign photo, guidelines, a source logo, a social cover image, and a color SVG. If your source file is in Illustrator, see sending Illustrator files.
Preview files and source files
PNG and SVG files are used on screen. An AI file or similar source file is used to edit the logo. The guidelines specify color codes, spacing, and uses to avoid. All three should be in the folder.
We don’t convert one into another. We don’t write the guidelines either. PDFs can be opened on the download page. See sending PDF files for a separate guide.
| File | Purpose | If missing |
|---|---|---|
| Color, single-color, and reversed logos | The right logo for the right background | The wrong logo is used |
| SVG or PNG | Web and presentations | The source file cannot be displayed on screen |
| AI source file | Future edits and printing | The printer cannot proceed |
| Brand guidelines | Colors, spacing, and prohibited uses | Everyone interprets the rules differently |
| Campaign image | Ads and cover images | The kit contains only the logo |
The downloaded file retains its color codes. It may look different on the recipient’s screen. We don’t make colors look the same across screens.
Include fonts in the folder only when licensed
Don’t include font files in every kit. If the license does not allow sharing with others, list only the font name in the guidelines. If sharing is allowed, include the file in the folder. We don’t embed it in your files. We don’t check licenses.
| Asset | Where it belongs | If missing |
|---|---|---|
| Logo variations | In the logo folder | An incomplete set of variations is used |
| Guidelines | In the guidelines folder | Rules remain verbal |
| Font file | In the folder, if sharing is allowed | Its name must be listed in the guidelines |
| Social image | In the social folder | The cover image is requested separately |
| Photo | In the photos folder | The campaign is incomplete |
Folder names are preserved when the recipient downloads the entire transfer. Clicking a single logo downloads only that file. It does not recreate the folder. If you have many icons, the free limit is 500 files. See sending folders for details.
Add a password for an unannounced rebrand. Send the password separately from the link. SVG, PNG, and PDF files can be opened on the download page. AI source files cannot.
Is 5 GB enough to send a brand kit?
5 GB is often enough for logos and guidelines. It may not be enough when you add years of campaign photos. The limits apply to total size and file count, not file type. We don’t guarantee how many files will fit.
| What you’re sending | Typical size | Which option is enough |
|---|---|---|
| A few logos | Usually a few MB | Free, no sign-up, up to 90 days |
| Logos, guidelines, and cover images | Tens or hundreds of MB | Free |
| A kit with campaign photos | May be around 1 GB | Free if it fits |
| Years of image archives | May be tens of GB | SendGB Extra, 500 GB per transfer |
| An archive over 500 GB | One transfer | SendGB Exceed, up to 1 TB |
SendGB Extra starts at €29.90 per year. It includes 2,500 files and 1 TB of storage. SendGB Extra keeps files for up to 1 year. It suits studios that frequently send brand kits.
SendGB Exceed requires no membership. A 1 TB transfer costs €9.99. You can send 2,500 files. The code can be used once and is valid for 1 year. The link stays available for 7 days. It is enough for an occasional very large archive.
If you entered your email address, you receive one notification when downloading starts. With email delivery, you are notified once per recipient. With link delivery, you are notified once per transfer. If the same person downloads again, you won’t receive another email. The notification does not confirm that downloading finished.
How to send
- 1
Add the folder
Keep logos, guidelines, social images, and photos in their own folders. Add the folder to the upload box. The free limit is 5 GB total.
- 2
Send the link
Email the link to your client or printer, or copy and paste it into a message. Add a password for an unannounced rebrand. Send the password separately from the link. If you enter your email address, you receive one notification when downloading starts.
- 3
The recipient downloads
The recipient downloads from the link and does not create an account. SVG, PNG, and PDF files can be opened on the download page. AI files cannot. Downloading the entire transfer preserves the folder structure. Free transfers over 250 MB stay available for 7 days. Free transfers up to 250 MB stay available for up to 90 days. SendGB Extra keeps files for up to 1 year.
What happens to your file?
- We don’t modify your files. Logos are not converted to another format.
- Guidelines, source files, and images go in the same transfer.
- Folder names are preserved when the entire folder is downloaded. Clicking a single file does not recreate the folder structure.
- If you entered your email address, you receive one notification when someone starts downloading.
What we don’t do
- We don’t assemble the kit. We don’t check color codes or embed fonts.
- AI and font files cannot be opened on the download page. SVG, PNG, and PDF files can be viewed.
- If the font license does not allow sharing with others, do not include the file in the folder. We don’t check licenses.
- A download notification does not confirm that the file finished downloading. If the same person downloads again, you won’t receive a second email.
Frequently asked questions
What should a brand kit include?
Color, single-color, and reversed logos. The source file. SVG or PNG files for the web. Guidelines explaining how to use them. You prepare these files. We don’t design the logo or create missing variations.
Is sending only a PNG enough?
It is often enough for viewing on a screen. It is not enough for printing or future edits. The source file and guidelines should also be in the folder. We don’t create the PNG.
Can I send font files?
Yes, if you include them in the folder. We don’t embed them in your files. If the license does not allow sharing with others, do not include the font file. Listing the font name in the guidelines is enough. We don’t check licenses.
Can I share logo files and brand guidelines together?
Yes, if you put them in the same folder. We don’t write the guidelines. PDFs can be opened on the download page. If the recipient clicks only the guidelines, the logo folder is not created.
Will the colors change?
We don’t modify your files. The downloaded file retains its color codes. It may look different on the recipient’s screen. We don’t make colors look the same across screens. Include the source file separately for printing.
How do I get around Gmail’s 25 MB limit?
Don’t attach the kit to your email. A single logo may fit. Guidelines, a cover image, and a campaign photo will not. Create the transfer and paste the short link.
Can the recipient preview files before downloading?
SVG, PNG, and PDF files can be opened on the download page. AI and font files cannot. No recipient account is required to download the files. They need their own software to edit the source file.
Why is a brand kit so large?
The logo is usually small. Images in the guidelines, campaign photos, and print files add to the size. A set can exceed 1 GB. We don’t guarantee how many files will fit. Free transfers are limited to 5 GB and 500 files. A large collection of icons may reach the file count limit before the size limit.
Will I be notified when the recipient starts downloading?
Yes, if you entered your email address. With email delivery, you are notified once per recipient. With link delivery, you are notified once per transfer. The notification tells you that downloading has started. It does not confirm that the file finished downloading. If the same person downloads again, you won’t receive another email.
Which option should I choose if 5 GB is not enough?
Logos, guidelines, and a few images usually fit within 5 GB. Free transfers over 250 MB stay available for 7 days. Free transfers up to 250 MB stay available for up to 90 days. Years of campaign archives call for SendGB Extra: 500 GB per transfer, 2,500 files, 1 TB of storage, starting at €29.90 per year. SendGB Extra keeps files for up to 1 year. For a single archive over 500 GB, SendGB Exceed is enough: no membership, €9.99 for a 1 TB transfer, 2,500 files, and a code that can be used once and is valid for 1 year. The link stays available for 7 days.
